Booking Terms and Conditions
Please read through these terms and conditions carefully, as together with your booking confirmation and the information you have provided to us, along with the information on our website and our campsite rules make up your booking contract and you are agreeing to the following.
Your holiday booking
When booking your holiday with us, you are agreeing to abide by the park rules for both you, as booking lead and all members of your party. You are agreeing that your stay with us is for recreational and leisure purposes only, and if this is not adhered to, you and your party may be asked to leave the park and no refund will be due to you.
We will request a £50 non-refundable deposit, or full payment if the balance is less than £50, to secure your camping pitch, and £100 deposit for caravan holiday accommodation.
We accept deposit payment via BACS transfer or cheque. Balance payment can be made via BACS transfer or cash on arrival
If we do not receive your payment by due date we reserve the right to cancel your holiday and no refund will be due to you.
It is your responsibility to check all booking details are correct. If there are any errors please let us know before paying your deposit, as once paid any changes may occur an administration fee.
The lead guest on the holiday booking is responsible for all payments and the behaviours of all members of the party. The minimum age of the lead guest is 21.
On arrival, if you arrive with more people, pets, or equipment than originally booked we may offer you an additional pitch at an extra cost or cancel your booking with no refund due to you.
Check -in/out times
Check in for the camping fields is 12pm
Check-in for static caravans is 3pm
If you plan to check in after 5pm, please let us know so we can arrange a late check-in. We do not accept new arrivals after 9pm, and the main gate will be closed to vehicles entering the site from 11pm.
All guests should check-out by 10am on the day of departure. If you check-out before your booked departure date no refund will be due to you.
Vehicles
We have a strict speed limit of 5mph (walking pace) throughout the park. All drivers must hold a full driving licence and ensure they have adequate insurance.
Electric Vehicles
Polruan Holidays do not have any EV charging facilities onsite, therefore if you are planning to bring an electric vehicle we recommend that you plan and check nearest charging points before you book
Camping pitches
Most of our pitches are 6metres wide, therefore please ensure your tent does not exceed this size, as you need to have space to park a car and allow 3 metres between pitches.
We allow a maximum motorhome length of 7.5m (24’6’’).
All Touring caravan will be located on the top field, with hard standing and electric hook-up. We do not permit twin-axis caravans
Only one tourer, tent, campervan or motorhome is allowed per pitch.
The use of awning, pup tents and additional vehicles are only accepted via prior agreement and may be subject to additional charges. We do not allow the use of gazebos.
Only gas or charcoal BBQs are allowed (no wood or wood products) and these must be raised off the ground. We do not allow the lighting of BBQs after 9pm.
Fires, firepits and fireworks are not allowed on site.
Chemicals should be used at all times when tipping toilet waste from holding tanks/cassettes. Never tip toilet waste down the toilets. Cassettes, buckets or similar must not be taken into amenities.
Caravan holiday accommodation
We trust that your holiday accommodation will be left clean and tidy. If your accommodation is damaged by you or someone in your party during your stay, we have the right to recover the cost of this from you, including any extra cleaning costs. We may also go into your holiday home at a reasonable time, at reasonable notice during your holiday to check things. Any damage to your accommodation could result in your holiday booking being cancelled and no refund will be due to you. If there is an emergency we can enter your accommodation without warning.
Please do not take any furniture, bedding or heaters outside of your holiday accommodation.
The management reserves the right to refuse any booking application or to terminate your booking at any time at their discretion.
Alcohol, smoking, drugs and offensive weapons
We have a zero-tolerance policy on drugs, firearms, and offensive weapons. If you are found taking drugs or in possession of offensive weapons, we will ask you to leave the site and no refund will be due to you.
Smoking and vaping is not allowed in any inside area including holiday accommodation, reception area, toilets, showers, laundry, or information room.
COVID-19
In these uncertain times we know how important it is to have peace of mind when booking your holiday. If, after booking your stay with us you are not able to travel due to local or national lockdown, or if you or a member of your party is unable to travel due to falling ill or isolating due to Government restrictions, we will move your holiday to another date without incurring an administration fee although you will need to pay any difference in price.
Guest restrictions
We only accept couples, families and solo travellers, and reserve the right to refuse or cancel holiday bookings without a refund to all adult, single sex groups, persons under the age of 21, or anyone who we think might spoil the enjoyment and relaxation of other guests.
We may ask for photographic identification for any guests over the age of 18. Failure to provide this may result in your holiday being refused and no refund will be due to you.
All pitches and holiday homes have a maximum capacity of 4 persons that should never be exceeded.
We do not allow any guests to use the site who has an unspent criminal conviction, has an entry on a criminal register, has a record of any other indicating antisocial behaviour, is a convicted sex offender, subject to a Risk of Sexual Harm Order or Child Abduction Notice. If you don’t disclose any of the above and it becomes known to us, we reserve the right to cancel your stay with us with no refund due to you.
Visitors
For the safety and security of our guests, we do not allow the visiting of friends or family during your stay. Polruan Holidays is private property and only guests that are registered to stay have the permission to enter the park. We reserve the right to terminate the holiday of any guest who brings on a non-guest with no refund due to you.
Accessibility
If any of your party has a disability, restricted mobility or access requirements, please let us know so that we can do everything possible to accommodate your stay with us.
Changing or cancelling your booking
If you need to make a change to your booking, please let us know as soon as possible.
Changes such as adding more people, changing a name, or date will occur a £10 administration fee, and all changes are subject to availability.
We do not offer cancellation insurance, therefore for your own peace of mind we recommend that you purchase this independently.
Once balance payment is paid no refunds will be issued. However, if for any reason beyond our control we need cancel your booking all monies paid will be refunded.
Children
Children must be supervised and never left unattended on site, with parents/ adult guardians being responsible for their children at all times.
We have an area in the bottom field for games and ball games. We strongly discourage the use of balls, Frisbees near where guests are camping. The riding of bicycles, skateboards scooters and the use of water bombs, water pistols are not allowed. Additionally we do not allow the use of drones, powered model aircraft, kites, Chinese lanterns or any other flying objects.
We have a swing for the use of children under the age of 12 years. Please be advised that we have a bottom gate that is left unlocked
Pets.
We are a dog friendly site and accept up to 2 well behaved dogs per pitch. Our caravans are dog free, but we do accept accredited guide dogs. No other pets are allowed onto the site.
Dogs that are listed under the Dangerous Dog Act are not permitted.
Dogs must remain on a lead and be under the control of an adult at all times. They should not be exercised on site and never left unattended. If you have a noisy or badly behaved dog we may ask you to take them away.
Behaviour
Due to the quiet nature of the site the use of mobile phones, laptops, radios, televisions, musical instruments, motor vehicles must not be used to cause a nuisance to other guests. We have an extreme quiet policy in force between the times of 10.30pm – 8am every day.
The use of generators is not permitted anywhere in the grounds.
We do not tolerate any kind of anti-social behaviour. Any person found to be causing abuse to property or guests, noisy behaviour, uncontrolled dogs or children will be asked to leave and no refund will be due to you.
Anyone staying at Polruan Holidays and using our facilities does so at their own risk. We do not accept liability for the loss or damage, injury or damage to any property or equipment on the park.
Feedback
We want you to have a great holiday with us, therefore of you have any issues or a dissatisfied during your stay please let us know whilst you are here so that we can do our upmost to resolve it for you as quickly as possible.
These T&Cs form part of the contract between us for your occupation on the park. Any breach may lead to the termination of your holiday without any refund
